Student volunteers are the fundamental supporting structure of our event!

As a Student Volunteer, you will help support the SIGGRAPH Asia 2017 Conference Programs and Exhibition, and you will have the opportunity to meet and learn from professionals, creators, educators, and visionaries in the industry. In addition, the benefits you will receive as a Student Volunteer includes a full conference pass to SIGGRAPH Asia 2017, exclusive access to Student Volunteer special sessions, and eligibility for complimentary housing in Bangkok, Thailand throughout the duration of the event.

Due to the high volume of applicants, we regret that we cannot accept any late applications. Please comply with the submission deadlines and ensure that you submit your application by the appropriate day and time. Only open to students who have previously served as Student Volunteers. Applicants must complete TL-specific essays in addition to the regular Student Volunteer application.

12 August 2017, 23:59 UTC/GMT: Student Volunteer Application Deadline

Interested students are required to upload proof of full-time status (valid student ID, transcript, or proof of enrolment, etc.) and complete the application.

Eligibility

SV (Student Volunteers) Eligibility Criteria

  • Enrolled as a full-time high school, undergraduate or graduate student during the 2017 academic year, or graduated after 1 January 2015.
  • At least 18 years of age as of Saturday, 25 November 2017.
  • Able to arrive in Bangkok before noon (local time) on Sunday, 26 November 2017 and stay until 6pm on Thursday, 30 November 2017. Other arrangements for arrival and departure should be made by contacting the SV Chair directly.
  • Able to present a current government-issued photo ID, such as a passport (foreign student) or national ID (Thai student), at SIGGRAPH Asia 2017.
  • Willing and able to fulfill the required amount of on-site volunteer service allocated by the Program.
  • Proficient in the English language.
  • Complete their volunteer application prior to the SV Application Deadline (12 August 2017, 23:59 UTC/GMT).

TL (Team Leaders) Eligibility Criteria

  • Demonstrate outstanding abilities as a SV in at least one of the three most recent SIGGRAPH or SIGGRAPH Asia conferences.
  • Show themselves to be organized, motivated, enthusiastic and dedicated towards helping the conference run smoothly.
  • Capable of effectively managing large groups of people and performing well under pressure.
  • Able to arrive in Bangkok before 9am on Saturday, 25 November 2017 for TL training.
  • Complete their volunteer application prior to the TL Application Deadline (15 July 2017, 23:59 UTC/GMT).

Responsibilities 

Attend Mandatory Orientation, Sunday, 26 November 2017

Please plan your travel to arrive at BITEC, Bangkok, Thailand NO LATER THAN NOON on Sunday, 26 November 2017, so that you will be able to check in before this mandatory meeting time. The location of the orientation will be announced in November.

Serve the SIGGRAPH Asia 2017 Conference, 27 – 30 November 2017

Commit 24 hours (approximately) of volunteer service to the conference.

Examples of Student Volunteer assignments:

  • Monitoring doors
  • Checking badges
  • Assisting conference contributors at various venues
  • Providing general assistance for attendees in all areas of the convention center

You must not depart from BITEC earlier than 6pm on Thursday, 30 November 2017. We recommend that you stay until Friday, 1 December 2017 so you can celebrate a successful conference with your new SIGGRAPH Asia colleagues Thursday evening.

Be Punctual

Arrive at the Student Volunteer Office at least 30 minutes before each of your scheduled shift times with a smile on your face and a passion to serve!

Student Volunteers who live further than 50 kilometers from BITEC are eligible to apply for Housing Assistance to help defray the cost of attendance. Please be advised that funds are limited and support cannot be guaranteed.

Submission Deadlines and Outcomes

When is the deadline to submit applications to the Student Volunteers Program?

The deadline for all completed Student Volunteers applications are fixed at 12 August 2017, 23:59 UTC/GMT. You are encouraged to submit early to allow time for unforeseen circumstances that may delay your submission, including problems with your internet connection. Incomplete submissions will not be considered and all submissions must be made online.

How will SIGGRAPH Asia 2017 address network failures?

SIGGRAPH Asia 2017 is only responsible for the availability of the submission server. If the Student Volunteers Program Chair is notified of a hardware or service failure in the submission system, he or she will authorize an appropriate adjustment and inform applicants via the SIGGRAPH Asia 2017 website. All other network failures between your location and the SIGGRAPH server will not exempt you from the deadline. Note that the local clock on the submission server determines the final submission deadline time.

When and how will I be notified if I have been accepted?

All applicants who submit a completed application will be notified via email by 24 September 2017, 23:59 UTC/GMT. Team leaders will be notified by 22 July 2017, 23:59 UTC/GMT.

Am I expected to speak English?

Most definitely, applicants must be able to converse in English fluently. Of course, knowledge of other languages (such as Thai in this instance) adds value to your application.

How do I apply to be a Team Leader?

Apply by 15 July 2017, 23:59 UTC/GMT. The TL application is only open to students who have previously served as Student Volunteers. Please complete the regular Student Volunteer application and the Team Leader essays by 23:59 UTC/GMT.

In my application, I indicated that I need housing. Will accommodation automatically be awarded to me?

No, unfortunately not all applicants who request for housing can be provided with accommodation due to tight capacities. However, the committee will try to house as many international SVs as possible.

My email address will be changing soon. How can I notify you of the update?

You can change your contact information using the online system at any time.

I have submitted the online form, but it still allows editing. Am I done?

Yes and you may continue editing it until the submission deadline.

Acceptance and Deployment

I am a Student Volunteer working 24 hours and I am receiving complimentary hotel accommodation. However, I will arrive Bangkok a day early. Can I get an extra night of accommodation?

No. Decisions on complimentary housing are final and cannot be negotiated.

I have been accepted as a Student Volunteer, but I am no longer able to attend the conference. Who should I notify?

If you need to decline your position for any reason, please send an email to the Student Volunteers Chair as soon as possible so that we can make alternative arrangements.

What should I wear during the conference?

Lightweight, comfortable clothes and shoes (appropriate t-shirts, polo shirts, shorts, jeans, trousers, and sneakers). Many attendees dress casually during the conference, and formal business attire is generally not required. Note that this is a professional conference and thus, if you are not sure if something is appropriate or not, please ask.

*Please take note during November in Bangkok, Thailand, the temperature is between 27° Degrees Celsius / 80° Fahrenheit to 32° Degrees Celsius / 90° Fahrenheit

What are my working hours like?

Depending on the duties assigned, Student Volunteers may have shifts that start as early as 8am and end at 7pm. However, there are shifts that do run later. Some Student Volunteers may have schedules that run as late as 10pm.

What is a Student Volunteer expected to do during the conference?

There are numerous tasks to be done by Student Volunteers, including checking passes at venue entrances and assisting at registration counters. All these tasks play a very important role towards the success of the conference.

What is a Team Leader expected to do during the conference?

Team Leader's tasks, on top of the usual Student Volunteer tasks, include managing Student Volunteers in their respective areas and coordinating volunteer duties with the SIGGRAPH Asia 2017 Committee members. Team Leaders also aid in training and supervising Student Volunteers, as well as assisting committee members and attendees.

Can I bring personal items and bags to the convention center?

Yes. The Student Volunteers' office will reserve an area for Student Volunteers to keep their personal items. However, do note that SIGGRAPH Asia 2017 Conference Committee will not be responsible for any lost or stolen items.

What should I do if I am dismissed early from my shift?

You should inform your Team Leader and then report to the Student Volunteers' office. If you cannot find your Team Leader, please report directly to the Student Volunteers' office.

General Matters

Are cameras allowed in the conference?

SIGGRAPH Asia 2017 does not allow cameras or recording devices. You can take your camera to the receptions, but cameras are not permitted in the convention center unless you have an approved media pass or part of the organizing committee.

Will I be able to experience some of the exhibits and other conference events?

Yes. As one of the perks of being a Student Volunteer, you will have the equivalent of a Full Conference registration, so you will be able to go almost anywhere in the conference. The exhibition hall and most of the conference will be open to you during your free time.
